Service Flow

For clients considering translation for a wide range of documents, we explain our translation service flow and important notes for using the service.
At Brainwoods, we listen carefully to your requirements and preferred conditions, and, when necessary, hold a meeting before proposing the translation solution best suited to your project.

For Clients Considering Our Services

This translation service is designed for corporate and business clients.

  • To ensure the highest level of service quality, we do not accept same-day delivery or delivery on the next business day after an inquiry. We appreciate your understanding in advance.

From Inquiry to Delivery

Inquiry and Consultation

Start with an Inquiry via Our Web Form

Please complete the required fields in either the Free Quote Request Form or the Contact Form and submit it. If you also fill in the optional fields, the subsequent consultation and quotation process will go more smoothly.

For an estimated price before contacting us, please refer to our Pricing page.

Detailed Consultation

Our staff will discuss your requirements in detail by phone, email, or video call.

Proposal and Order

Review the Proposal and Quotation

Based on the information gathered during the consultation, we will submit a proposal or quotation.

Place Your Order

Please review the delivery schedule, pricing, and business terms. If everything looks good, let us know by email that you would like to place the order.

Translation and Production

Translation

Based on your requirements, our coordinator selects the most suitable translator. A translator specializing in the relevant field then performs the initial translation. If we need to confirm any details about the document content, the coordinator will check with you as needed and proceed carefully.

Proofreading and Editing

After the initial translation, we apply a two-step review process consisting of proofreading and editing. We identify issues such as mistranslations, omissions, and terminology inconsistencies, and refine the wording and expressions to produce a polished final translation.
Except in the case of Draft work.

Native-Language Quality Check

One of the processes above (translation, proofreading, or editing) is handled by a native specialist in the target language. For Japanese-to-English translation, that means English, and the result is shaped into a natural, fluent translation.
Except in the case of Draft work.

Layout Adjustment and DTP

We adjust layout shifts caused by differences in text volume after translation. We also provide DTP work in line with your requirements.

Delivery and Review

Delivery from Our Team to You

Once the translation is complete, we will deliver it via Google Drive or as an email attachment. We also support delivery to your preferred online storage service.

Review

You will review the translation on your side. If you have any questions or requests regarding terminology or wording, please feel free to let us know.

Aftercare (Questions and Revisions)

Our team will respond carefully to any questions you may have. If a revision is needed, we will make one revision free of charge in principle.
* Depending on the content, additional fees may apply for revisions.

Invoicing and Payment

Invoice Review and Payment

After your review, or by the previously agreed deadline, we will send the invoice as a PDF.

Survey

Responding to the Survey

We conduct an optional survey about the overall service experience, including staff support and translation quality. We use the responses to keep improving our service quality.

Customer Feedback

Your feedback will be reflected in your next request.

  • Preferred terminology
  • Tone and manner
  • Style and notation rules, etc.

Important Notes for Using Our Service

Please Contact Us via the Inquiry Form

Please contact us using the inquiry form on this website.

Minimum Time Required from Inquiry to Start of Work

It takes at least one to two business days from inquiry to the start of translation work. During this time, we explain our services, confirm and propose terms, select the translator, and create the schedule. For that reason, we do not accept translation and delivery on the day of the initial inquiry. Once we have started working together, same-day or next-day delivery from the date of the manuscript request may be possible if you consult with us in advance.
